Labor law obliges employers to keep track of the time worked by employees. Organizations should take into account hours worked, regardless of legal status and individual entrepreneurs... Especially for this, Goskomstat has developed and approved the Forms of the Timesheet N T-12 and N T-13.

We will give instructions for filling out, which will help to correctly reflect the data and use the timesheet rationally.

What is a timesheet for?

The time sheet, approved by the decree of the State Statistics Committee of 01/05/2004 No. 1, helps the personnel department and accounting department of the enterprise:

  • take into account time worked or unworked hired worker;
  • monitor compliance with the working time schedule (attendance, non-attendance, lateness);
  • have official information about the time worked by each employee for calculating wages or compiling statistical reports.

He will help the accountant to confirm the legality of the accrual or non-accrual of salaries and compensation for each employee. Personnel officer - to track the turnout and, if necessary, justify the penalty imposed on the employee.

The time sheet refers to the forms of documents that are issued to the employee upon dismissal along with work book at his request (Article 84.1 of the Tax Code of the Russian Federation).

It should be noted that the unified forms of timesheets N T-12 and N T-13 from January 1, 2013 are not required for use. However, employers are obliged to keep records (part 4 of article 91 of the Labor Code of the Russian Federation). Organizations and individual entrepreneurs can use other methods to control the time spent by employees in their workplaces. But in fact, the format of the form developed by Gostkomstat is quite convenient and continues to be used everywhere.

Who maintains the timesheet in the organization

According to the Guidelines for the use and filling out of forms of primary accounting documents:

  • the time sheet for 2019 is drawn up and maintained by an authorized person;
  • the head of the department and the employee sign the document personnel service;
  • after which it is transferred to the accounting department.

As we can see, the rules do not establish the position of the employee who keeps the timesheet. Management has the right to appoint anyone to perform this task. For this, an order is issued indicating the position and name of the person in charge. If the order for the appointment of such an employee is not issued, then the obligation to keep records should be spelled out in employment contract... Otherwise, it is unlawful to require an employee to keep records. In large organizations, such an employee is appointed in each department. He fills out a form within a month, gives it to the head of the department for signature, who, in turn, after checking the data, submits the form to the personnel officer. An employee of the personnel department verifies the information, fills out the documents necessary for his work on its basis, signs the timesheet and passes it on to the accountant.

In small firms, such a long chain is not followed - the timesheet keeps personnel worker, and then immediately transfers it to the accounting department.

What is the difference between N T-12 and N T-13 Forms of the Timesheet

Two approved forms of topics differ, one of them (T-13) is used in institutions and companies where a special turnstile is installed - automatic system controlling the attendance of employees. And the T-12 form is considered universal and contains, in addition, an additional Section 2. It can reflect payments to employees for wages. But if the company conducts settlements with personnel as separate species accounting, section 2 simply remains empty.

Completing the timesheet

There are two ways to fill out the timesheet:

  • solid filling - every day all attendances and absenteeism are noted;
  • filling in by deviations - only late arrivals, no-shows are noted.

For example, we will give instructions for filling out the T-13 form using the continuous filling method.

Step 1 - the name of the organization and structural unit

At the top, enter the name of the company (full name of the IP) and the name of the structural unit. This can be a sales department, a marketing department, a production department, etc.

Step 2 - OKPO code


OKPO - all-Russian classifier enterprises and organizations. Contained in the databases of Rosstat, consists of:

  • 8 digits for legal entities;
  • 10 digits for individual entrepreneurs.

Step 3 - document number and date of preparation

  • The document number is assigned in order.
  • The compilation date is usually the last day of the reporting month.

Step 4 - reporting period

The time sheet is handed over for a month - the period from the first to the last day of August in our case.

Step 5 - employee information

A separate line is filled in for each employee of the department.

  • Serial number in the report card.
  • Surname and position of the employee.

  • A personnel number is assigned to each employee and is used in all internal accounting documents. It is retained by the employee for the entire period of work in the organization and is not transferred to another person for several years after the dismissal.

Step 6 - information on attendances and number of hours

To fill in information about attendance and absenteeism of employees, abbreviated symbols are used. You will find a list of them at the end of the article in a separate paragraph. In our example, for the employee Petrov A.A. 4 abbreviations used:

  • I - attendance (in the case of attendance, the number of hours worked is recorded in the lower cell);
  • On a weekend;
  • K - business trip;
  • OT - vacation.

Step 7 - the total number of days and hours for the month

  • In the 5th column, indicate the number of days and hours worked for every half month.

  • In the 6th column - the total number of days and hours per month.

Step 8 - payroll information

The wage type code defines a specific type of cash payment, encrypted in numbers. Full list for codes, see the end of the article. The example used:

  • 2000 - salary (wages);
  • 2012 - vacation pay.

  • Corresponding account - an accounting account from which the costs of the specified type of remuneration are written off. In our case, the account for writing off salaries, travel payments and vacation pay is the same.

  • Column 9 indicates the number of days or hours worked for each type of pay. In our case, the top cell contains the days of attendance and business trips, and the bottom one - the days of being on vacation.

If one type of remuneration (salary) is applicable to all employees during the month, then the code of the type of payment and the account number are written at the top, columns 7 and 8 are left blank, indicating only the days worked or hours in column 9. Like this:

Step 9 - information about the reasons and time of no-show

Columns 10-12 contain the code of the reason for the absence and the number of hours of absence. In our example, the employee was absent for 13 days:

  • 3 days - due to a business trip;
  • I was on vacation for 10 days.

Step 10 - signatures of responsible persons

The report card is signed at the end of the month:

  • the employee responsible for maintenance;
  • the head of the department;
  • personnel worker.

How to mark vacation in the timesheet

Before you mark the vacation in the timesheet, it is important to know the following points:

  • what kind of vacation to put down;
  • vacation period - from what to what date the employee is resting;
  • by what method the timesheet is filled in - solid or only deviations are registered.

Different types of leave are indicated in the report card with the following abbreviations:

When using both methods of filling out the timesheet, the vacation symbol is affixed for each day the employee is absent. It's just that when using the continuous method, the rest of the days are filled with attendances (conditional code "I"), and when accounting for deviations, they remain empty.

Each organization must keep records of the availability of employees at their workplaces on a daily basis; for this, the personnel department uses a unified form of a timesheet in the form of T-13. It allows you to record their presence, lateness and absence, the reasons for which may arise for various reasons, both valid and not valid. Based on the data sheet at the end of the month, the accounting department calculates wages employees, especially those employees whose wages are formed on the basis of the time of presence at the workplace.

Filling out the timesheet is not particularly difficult, for this you choose a convenient accounting option for you and put down the appropriate data and codes:

  • V "Column 1" it is necessary to indicate the next serial number.
  • V "Column 2"- personal data for each employee of the organization, in accordance with, position and full name.
  • "Column 3" contains Personnel Number employee.
  • V "Column 4" using letter codes for each employee, data for each day of the slave is entered, the corresponding code is in the upper cell, and the duration of the worker is indicated in the lower cell. So if the 5/2 schedule is set, then the working day is 8 hours, and the working day with the 2/2 schedule will be 11 hours. The data for the first half of the month and for the second are entered in separate columns. Above - for the first, and below for the second half. In the event of overwork, the employer must compensate the employee for the excessively overworked time either in cash or with time off.
  • V "Column 5" The total hours worked are indicated separately for the first half, and separately for the second half of the month.
  • "Column 6" contains the total value of the hours worked (the sum of column 5).
  • V "Column 7" data on the wage code is entered.
  • "Box 8" contains account data accounting to reflect the cost of wages.
  • Columns 10-13 are used to account for employee absenteeism, indicating the appropriate code and the number of days.

Non-standard situations

Unpaid leave

According to the legislation, the following types of such vacations can be distinguished:

  • For family reasons - "DO"
  • Leave without pay, provided in accordance with the Labor Code of the Russian Federation, for example, on the occasion of a wedding - "OZ"
  • Based on a decision on a collective agreement or an industry decision - "DB"

If there are holidays during the vacation

In the presence of holidays during the allotted vacation, in accordance with production calendar for the current year, these are not marked with a “B” code. So, for example, if an employee went on vacation from June 9 to June 16, and during this period there is a public holiday on June 12, then instead of the code (OT) it is necessary to write the “B” code. This day is not included in the paid vacation period.

Illness while on annual leave

If during the vacation the employee suffered an illness and provided a sick leave in confirmation, then instead of the “OT” code, it is necessary to write down the “B” code, in accordance with the sick leave. In this case, the vacation will be extended for the duration of the illness.

Time sheet- serves as the basis for calculating salaries for employees. This document contains information about the presence of employees at their workplaces or about their absence with an indication of the reason. To fill out, you can use the unified form T-13 or the form T-12. Within the framework of this article, we will consider in detail the features of filling out the time sheet of the T-13 form, we will give a sample of filling out the timesheet using the example of the T-13 form. The time sheet is a table in which attendance and absenteeism are taken into account for each employee of the enterprise. The total number of days and hours worked per month is displayed. In addition, code designations of the reasons for absenteeism are indicated.

Time sheet form T-13 - sample filling

First of all, it should be noted that filling out the form can be done in two ways:

  • all attendance, non-attendance at work are noted on a daily basis;
  • only absenteeism, lateness and other deviations from the normal working day are noted.

Our sample timesheet uses the first time tracking method.

First of all, you need to enter data on employees' exits to work during the month in the timesheet. Form T-13 for this has a table in which a separate line is filled in for each employee.

In column 2 and 3, the full name, position of the employee, and his personnel number are put.

Column 4 indicates attendance and non-attendance at work. For each calendar day of the month - a separate cell, the code designation is indicated at the top, below the number of hours worked for that day. The option is possible when the lower cell is not filled, while the working time is recorded in days.

Codes can be found on the title page of the T-12 timesheet.

In the sample below for filling out the T-13 form, the following letter codes were used to track working hours:

  • I - the day has been worked out completely;
  • B - day off;
  • K - finding an employee on a business trip;
  • B - on sick leave;
  • OT - on vacation.

At the end of the month, the number of days and hours worked in the first and second half of the month should be counted, for this, the timesheet has columns 5, 6. In the fifth, the upper cell reflects the number of days worked for the first and second half of the month, in the lower cell - the number of hours worked for every half of the month. In the sixth, the number of days worked (upper cell) and hours (lower cell) for the entire month is indicated. The figure below shows an example of filling out column 1-6 of the timesheet.

Columns 7-9 of Form T-13 contain information that will be useful for.

For each type of wages, there is a separate code designation, for example:

  • 2000 is the code for wages and travel allowances;
  • 2012 - code of the timesheet for paying vacation pay;
  • 2300 - code when paying for sick leave, etc.

Our example of filling out a timesheet contains the above three codes.

If only one type of remuneration is used for all employees, then the following data should be filled in:

  • wage type code - at the top column 7-9, the same for all employees;
  • correspondent account - an account to which the costs of this type of remuneration are related;
  • 7, 8 columns remain empty;
  • 9 - the number of days (hours) worked per month for each employee.

If several types of wages are used, then you need to fill in all three columns: 7, 8, 9.

In the seventh, the wage code is put, in the eighth, the account for attributing costs for this type of payment, in the ninth, the number of days or hours corresponding to this type of payment. This data is filled in for each employee specified in the timesheet.

The rest of the columns of the table contain information about the reasons for absences and delays of employees.

It also has its own codes for the reasons for no-show, for example:

  • K - business trip;
  • B - sick leave;
  • OT - vacation, etc.

Next to the indication of the reason code, the number of hours or days of absence of the employee for this reason is put. Filling out the timesheet is usually the responsibility of the heads of departments or divisions, or the personnel of the personnel department.

The time sheet is designed to enter information about the time actually worked by employees of organizations. I must say that the time sheet is not strictly mandatory - in principle, it can be arbitrary, that is, each company is free to use its own time sheet when such a need arises. However, the form was developed and recommended for use by the State Statistics Committee of the Russian Federation and is preferred.

Who fills out the timesheet

The form is filled out either by an employee of the personnel department or by the head structural unit, or a timekeeper specially hired for this function. On the basis of the information entered into it, the specialists of the accounting department accrue salaries and other payments to the employees of the organization. In fact, the timesheet is one of the most important accounting documents. And if small companies can do without it, then large enterprises v mandatory keep such time records.

Depending on the personnel accounting system adopted at the enterprise, the timesheet can be formed either one for all employees of the organization, or be kept separately in each division.

The timesheet is a regular document, that is, every month you need to draw up a new copy, so the serial number of the timesheet will be equal to the serial number of the month in which it was created. The timesheet period covers all days of the month.

You can fill out the timesheet both electronically and in writing. However, after entering all the necessary information, it will still have to be printed for the signatures of the responsible persons.

Form T-13. Form features

Let's start with the T-13 form, which is now used much more often to keep a timesheet.

The unified form T-13 or electronic timesheet is well known to employees of the personnel department. This is not the only, but definitely the most common way to track hours worked. If you are keeping records manually, you should use Form T-12.

Timesheet is a familiar tool for tracking employee attendance. Form T-13 allows you to record in detail the reasons for not showing up for work, including student vacations during the session, advanced training and several types of disability leave. The period for which the document is filled out may be less than 31 days.

The completed T-13 is the basis for calculating salaries.

Format for filling out the timesheet in T-13

Unlike arbitrary tables of similar content, T-13 contains data about the enterprise, including the form of ownership and OKPO. The document number is affixed in accordance with the internal requirements for the maintenance of timesheets.

The name of the department is also indicated at the top. It should be remembered that the head of this department (even if filling out the timesheet is not his or her responsibility) should sign the completed form.

The order of employees is determined by the decision of the responsible person. The most common sort is alphabetical, as in our example, but the option of arranging by personnel number is possible (column 3).

In column 4, we put marks by day:

I AM- (attendance) working day,
V- day off,
FROM- vacation,
RP- turnout on the day off (working off),
TO- business trip,
PC- training,
Have- study leave with a call from an educational institution,
B- sick leave with sick leave,
T- unpaid sick leave without sick leave.

Under the mark I put the number of hours worked that day. In column 5, we summarize the number of I in the line and the number of hours. We get 4 values ​​for 2 half of the month. In column 6, we summarize the values ​​and get the final figure for the work for the month.

The number of hours for C, OT, K, B and other cases is not indicated in the fourth column. There are columns 10-13 for this.

Accounting for sick leave, vacations or other absenteeism

Designation codes can be different (for example, numeric). The specific format of filling is not prescribed by law.

The X designation shows that we do not take into account this day: for convenience, the month is divided into two lines with unequal values. For months with 30 days (for example, November, the column will look like this (for convenience, the “non-existent” 31st number is highlighted in red):

By analogy, T-13 is filled in for visits in February.

Columns 7-9 indicate the payment code, the number of days and the type of charges. Our example uses codes:

  • 2000 - Common workday,
  • 2300 - sick leave (disability benefit),
  • 2012 - vacation.

Alternative solution

Some enterprises approve a slightly simplified version of the timesheet without detailing the reason for the omissions. Column 4 indicates only 2 codes:

  • I AM- working day,
  • H- unworked day.

This method can be inconvenient in that it does not record sick leave.

Special cases

  1. How do I complete the T-13 for staff attending conferences and other training events?
  2. Depends on the position of the enterprise. These days can be counted as workers (I), or they can be counted as advanced training (PC). The rate of payment may also vary.

  3. Can code I have a value for more than 8 hours?
  4. Yes. Maybe, if there is a special order on extended working hours. Overtime can be marked with the designation C.

  5. What is the difference between T-12 and T-13 timesheets?

The first is a manual attendance form. The second is electronically. Many accounting departments have now switched to T-13, since it can be automatically collected using a special program.

First of all, as in any other document of personnel records, you first need to enter the details of the organization in the timesheet: its full name with the OKPO code (you need to take it from the registration documents), organizational and legal status (IP, LLC, CJSC, OJSC), as well as the structural unit (department) for which given report card(if necessary).

Then you need to enter in the appropriate column the number of the document for the internal document flow, and also indicate reporting period that takes into account the given timesheet.

Numeric and alphabetic codes in the timesheet

This part of the timesheet includes alphabetic and numerical codes used to fill in the necessary information on employees, as well as their decryption. They must be entered in the main part of the timesheet in order to briefly and clearly reflect the amount of time actually spent by one or another employee at the workplace, as well as the reasons for his absence from work. If the specialists of the personnel department have a need to enter some additional codes in this form of the report card, they can be developed independently and entered into this table.

Time tracking in T-12

This section in the timesheet is the main one - it is in it that the working time is recorded. First, you need to enter the employee's serial number in the first column of this section, then, in the second - his full name (preferably the full name and patronymic so that there is no confusion and mistakes). In the third column, you need to insert the employee's personnel number assigned to him during employment (it is individual and never repeated).

There are two lines for each employee in the report card - they contain encrypted information about the presence or absence of the workplace on each calendar day of the month. In addition, it is immediately necessary to indicate the reason for non-attendance at the workplace, if one has been established.

The reason is indicated in the upper line opposite the employee's full name, and in the lower line - the number of hours actually worked, and if the employee did not appear at the workplace, the lower cell can be left empty.

The next step is to calculate the total number of hours and days actually worked for two-week periods, and at the end of the table, the result of the calculations for the month.


At the same time, you should carefully monitor that the total number of calendar days in a month coincides with the amount of work, days off and holidays indicated for each employee.

It should be said that sometimes the persons responsible for filling out the timesheet enter into it only those information that relate to the days when the employee was absent from the workplace. However, this option can lead to personnel and accounting errors, so it is not advisable to use it.

Date and signatures of responsible persons

After the time sheet is completed, the employee responsible for it must indicate his position, and also sign in the appropriate cells with a mandatory decryption. The time sheet must also be approved by the head of the structural unit or the director of the enterprise - also with an indication of the position and a signature with a transcript. The last thing to put in is the date on which the timesheet was filled out.
