What does distribution mean. What is email distribution. How to send out emails

What is an email newsletter?

Examples of email newsletters

For example, this is how a letter from chain stores DNS:

Why are email newsletters relevant in 2018?

Because many types of communications still take place in e-mail. This is especially noticeable in business correspondence: people are not yet ready to conduct serious negotiations from their Vkontakte page. Social media remain the realm of photographs of children and cats. Messengers are mainly used for mobile devices and are not very suitable for official business communication in terms of their functionality.

Hence, the good old post is still relevant. Therefore, there is an audience with which to interact.

Types of email newsletters

There are quite a lot of classifications and divisions of email newsletters on the Internet. But one way or another, they all have the same basis: whether the letter is sent by trigger or manually.

trigger emails
Trigger emails are emails that are sent to the user automatically after they have performed a particular action.

For example, trigger emails include a welcome email after a person has subscribed to your mailing list. Or confirmation that the payment for the goods was successful. Or a reminder that the free trial period of the product is coming to an end.

Trigger emails are created in special services. For example, Sendsay , ExpertSender or Carrot Quest .

First, the trigger itself is created.

In this context, a trigger is a particular action after which the user receives an email. For example, you can create a trigger that will fire every time a person clicks on a certain button on your site.

After the trigger is created, you need to write the text of the letter, format it in any service convenient for you and run it.

handwritten letters
These are letters, the content and time of sending of which cannot be predicted. They usually contain news information. For example, a selection of the latest blog articles or information about promotions and special offers.

Such letters are written and typeset as needed.

Email campaign performance metrics

Number of subscribers
One of the most important and obvious indicators of the success of your newsletter. The more subscribers, the better.

Email open rate
If you're sending emails to people, it's certainly important to know if they're reading them. Or at least what percentage of people open them. This statistics, as a rule, can be viewed in services for working with email newsletters.

Target action completion percentage
Each letter has a particular target action, which, ideally, the reader must perform. For example, buy a product, go to the site and read an article, sign up for a test drive. Using statistics and analytics, you can calculate what percentage of those who received the letter completed this action. The higher the percentage, the better.

Percentage of unsubscribes and complaints
Unsubscribing and spamming after launching an email campaign is inevitable. It is important that the percentage of people who “dislike” you does not cross the critical mark. Otherwise, you can get a ban from Yandex or Google-a.

and little tricks

In today's article, we will talk about what automatic mailing is, why it is needed and how to work with it. I have already promised to tell you about this more than once - and now, finally, I got together!

Automatic mailing - what is it and why?

So the first question is: what is automatic mailing? I think it is already clear from the name that this is a mailing that occurs automatically. This is usually a series of letters (sometimes even one letter) that is sent automatically when certain conditions are met.

What conditions exactly? In fact, very different. From subscription to the newsletter to the expiration of some period after sending the previous letter. At the same time, a lot depends on the service through which the mailing is carried out and on its capabilities.

By the way, today we will consider automatic mailing using the GetResponse service as an example. I think that for most of our readers, its capabilities will be quite enough.

Why is such a distribution necessary? The main task is to facilitate the work of marketers. After all, it is much easier to automate your actions to get results than to do everything manually, tracking the fulfillment by subscribers of a wide variety of conditions. And here everything is simple - set it up once - and reap the benefits.

The second, but no less important task is to increase conversion and, accordingly, increase the number of sales. After all, mailing automation allows you to give each subscriber exactly what is needed and interesting specifically for him.

Clicked on the first link? Get related information. For the second? This means that the information you need is completely different. Birthday? Catch congratulations! Read one letter, get another. Fulfilled the goal on the site - here's a letter for you!

In general, the number of different chains that we can offer our subscribers, depending on the actions they take, is almost limitless.

Which email works best after a certain condition is met? How long does a chain of letters lead to a larger average check? And so on and so forth - there are, in fact, a lot of opportunities for tests.

What are the conditions for mailing activation?

So, what conditions for sending emails does GetResponse offer us? There are only 8 main conditions. This is sending a letter:

  • at a given time;
  • by click;
  • after reading;
  • when subscribing;
  • upon reaching the goal;
  • when data changes;
  • along with another letter;
  • on your birthday.

Moreover, each of these options has additional settings.

Setting up automatic mailing

Let's see which ones, using the example of the first option - sending a letter at a given time. And at the same time, we will figure out how exactly automatic mailing is configured.

For starters, we can choose exactly when the email will be sent. As you can see, by default we have the option "On Day 1". This means that the email will be sent the next day after the contact enters the auto-response cycle (that is, after the specific email address is on our list of those who receive automatic mail).

If you want the letter to be sent on the first day, then enter the value "0" in this field.

The second field allows you to choose which mailing list subscribers will receive this automatic series. For example, I have the same e-mail campaign that subscribers of our blog receive. By the way, if you have not yet subscribed to our newsletter, then it is not at all difficult to do this - just use the subscription form on the right.

Let's move on to the next form fields. So what is there to choose from. First of all, exact time sending a letter. The default is "at the time of subscription". That is, the letter will be sent at the same time when the person subscribed to your mailing list.

You can also choose the options "with a delay in" a certain number of hours after the moment of subscription and "exactly at" a certain time (although a certain time does not include minutes, only hours). By the way, when choosing the last option, you can also enable time zone tracking. But that it works correctly, I'm not sure.

The next block allows you to select the days of the week when you need (or do not need) to send letters. For example, only on weekends. Or, on the contrary, only on weekdays.

And, finally, the final chord is the choice (or creation) of the letter that we will send. And also inventing a service name for the letter (that is, a name that will be visible only to you). I recommend making it as conversational as possible, so that later you don’t get confused in a bunch of letters with similar names when trying to view analytics.

As you can see, everything is very easy to set up. For the rest of the condition options, the setting looks about the same - the corresponding items are simply added.

For example, when sending a click-through email, choosing a link that the subscriber should click on…

...and when sending a letter when the data changes, the data that it changes.

On the one hand, it seems that the choice is small. On the other hand, thanks to the possibility of fine-tuning, it is possible to create very complex and intricate chains that intersect in different ways, continue and pass one into another. The main thing is not to get confused and start sending the same emails to the same subscribers!

What does automatic mailing look like from the inside?

So, now you know what automatic mailing is and how it is configured. Let's look at a couple of examples of what a ready-made automatic mailing looks like.

All autoresponders are divided into two types - by time and by action. By time - these are those that are sent after a certain time after the subscription. And by action - those, the conditions for sending which are some actions.

GetRespose allows you to use two options for viewing automatic distribution - all results together (with the ability to select only specific types) or separately distribution by time, separately - by action.

Here, for example, is a small automatic mailing of three letters:

As you can see, the first email is sent at the specified time, the second email is sent by click, and the third email is sent by subscription. By the way, do not pay attention to 0 contacts in the first letter. For messages sent at a given time, this column indicates only the number of subscribers to whom the letter is sent today (that is, on the day of viewing).

And here is another sorting option - by types of letters. Here in the first place are letters sent by time:

As you can see, everything is arranged in the form of a calendar. And when you click on a specific day, you can add a letter for that day. And, of course, do not be surprised that there are 33 days in a “month” - after all, in fact, this is not a calendar, but just a counter of days from the moment the contact entered the autoresponder cycle.

So my story about what constitutes automatic mailing has come to an end. If you have any questions - ask them in the comments, and I will definitely answer them.

What is Bulk Email

Mass sending of letters is one of the directions of marketing.
Any marketing campaign is aimed at attracting customers to you. And sending letters to e-mail is another of the channels through which customers can come to you.
Email can mean:

  • sending emails;
  • sending SMS messages.

These are email newsletters. Marketers are actively using this channel to inform and attract customers.
With the right strategy, mailing can attract and interest the audience, lead through all stages of the sales funnel and encourage a person to perform the main action for which all efforts are made - to buy a product or use a service.

If you go too far with letters, write to the user too often and intrusively, then there is a risk that you will lose a person from your contact database. He will stop reading the same type and uninteresting letters, send them to the spam basket and unsubscribe.

In order not to lose people, constantly replenish the address book with new addresses, you need to make the newsletter useful and necessary for the user.

Types of email distribution

  • information letters;
  • transactional messages;
  • commercial letters;
  • event letters.

Newsletter

Newsletter is needed to inform the client. Such letters do not force him to buy or place an order, they do not ask him to take advantage of discounts. They give the recipient food for thought. They talk about something new.

For example, a person can subscribe to the newsletter of a portal. And he will receive collections of news for the week in the mail.
Newsletter should help a person to solve his problem. She can tell interesting story, report your experience, suggest an interesting life hack that a person can immediately use.

Such letters allow you to gain trust with your audience. We said that people love it when their problems are solved. And if in your letters a person can find an answer to a question that worries him, which is interesting to him, then in the future he will turn to you.

Letters must be topical. If you are the owner of an online pet products store, then the mailing list should be appropriate. Include materials about keeping animals, Interesting Facts about their life. And if there are articles about installation plastic windows- it is at least strange.
These letters work for a long-term result. Their task is to increase the interest of the audience, to warm it up.

If you want to talk directly about your products and invite a person to the site to shop, organize a commercial mailing list.

Commercial mailing

Tell the user about your products, discounts or promotions. And invite him to take advantage of such an advantageous offer.
Typically, sales letters are sent out periodically. Do you constantly arrange promotions and discounts? Tell the person about it, include descriptions of several products in the letter - give them the opportunity to choose.

Transactional mailing

These are automatically generated emails. They confirm the action that the user took on your site.
For example, a person placed an order for cat food. Confirm this action by emailing him a check. Specify the order amount again, make a list of products that the user bought. Show him that his order is being worked on.

Trigger mailing

These are also letters that are sent automatically. But if a transactional email just makes it easier to use your site or service, a trigger email is sent depending on the condition.

You can plan entire chains of trigger emails. A person has registered on the site - send him . A person only buys cat shampoo from you - inform him about new discounts on these products. A user buys goods from you once a month - thank him for his loyalty and present a discount coupon for the next order.

As a rule, such letters are personalized. Their goal is to keep a person, to sell him goods. Therefore, such letters are personalized. User profile data is used, the letter is personalized. The person is addressed by name, if possible, the addressee's personal information is included in the text.

Another type of classification of mailing types is by direction:

Mailing to the target audience involves the selection of people who will be interested in a particular letter. If you want to inform the buyer of your online store about new promotion, first select the recipients who will be interested in your offer. For example, a person orders only cat food from you. It is hardly necessary to tell him about discounts on dog leashes. Such a letter will cause nothing but irritation of a person.

Mailing by regions - sending letters in accordance with the geography of the subscriber. The address base is collected and segmented by geographical parameters.
Bulk email is . Sometimes people buy databases of email addresses and just start sending emails to them. This is a dubious method of attracting customers. Such emails usually go straight to the spam folder.

How to send out emails

For email marketing to work, you need to work on every email campaign.

  • Collect the address base.
    Do not use ready-made purchased databases of addresses. You should only send your emails to people who agree to receive them. Most effective method- send a letter to the subscriber's mail with a unique code, with which he can confirm his consent to receive your letters.
  • Think about infomercials.
    You can't send letters mindlessly. Every message should have a purpose. Tell us about new products and services. Make a selection the best materials published on your site to interest a person.
  • Make a distribution schedule.
    Find a time that is convenient for your subscribers. For example, some people check their mail more often during their lunch break - at 12 noon Moscow time. But suddenly you have people from the Far East, where is a completely different time zone?
  • Check letters.
    No one is immune from typos and errors. Always check email before sending. Send yourself a test letter, see if everything is written correctly, if it is correctly laid out and displayed.
  • Add the option to unsubscribe.
    A person must be able to remove his address from the database. His activities, interests may change, the cat may run away. And your letters may become redundant. Leave an unsubscribe link in the email. You can ask a person to leave a review, describe the reason why he no longer wants to receive your letters.
  • Keep the database of addresses safe.
    The list of addresses should not be shared with anyone. And the newsletter should only be received by people who subscribed to it.

How to organize a mailing list using services

There are services that help to make email newsletters. You can set up automatic collection of data from your site into mailing lists, segment the lists by many parameters.

You can customize the template. If you do not know how to type letters directly, you can use the block constructor.

Be responsible with your email campaigns. It is a powerful tool that can be used in marketing. The newsletter will help you build trust with your audience, tell about your business and attract customers. But, as in any business, it is important to understand whether what you are doing is effective.

Set up UTM tags, see how many people open emails, how many people follow links. Do you even need what you're doing.

Our clients are our inspiration!

“Infinitely glad to read your useful articles (response to the content mailing list). They are very relevant and bring clarity to the overall development of the online store. Thank you for that!
I would like to ask somehow for instructions on the topic of mailings (email) to do. I really like how you arrange everything. What content do you write. Thanks!"

When we are asked, it is simply impossible to refuse. Say we rewatched Always Say Yes? Not at all, just the desire of the client and his request is the law for us, well, the mission of the company. Therefore, with pleasure we will publish not one article, but a whole series of articles on how to work with mailing lists. Let's start with the basics and talk about what mailings are, what they are, who to write to and how often. In short, a little theory, which is simply a must-have.

1. To whom to write?

As they said in the movie "Election Day": " You can vote for anyone. But why for anyone, when we have our own, one might say, hereditary military, great-nephew of marshals Blyukher and Tukhachevsky, who were repressed alive, Igor Vladimirovich ...". Hence the moral: you need to write mailing lists only to your own, dear, beloved clients. Well, or not yet clients, but people who are going to become them.

As I wrote above, the base is your customers or those who are going to become them. The conclusion follows: we collect the base from people who know something about you, heard about you, work with you (order / buy) or want to know something about you. And the key word here is "know" in all its conjugations and moods.

And once again about the base in a little more detail:

Attention, the question is: how to get a base for mailing?

The question is correct and relevant. Collecting the database is quite laborious work. It will require creativity and patience from you. I'll tell you about several ways how you can form a base. In order not to limit your flight of fancy, I will clarify that this is not the whole list of paths and you can come up with many more.

In general, there are a lot of options, here I just went through the standard ones. I am sure that you will be able to come up with a lot of ways to get a contact from a client and permission to send him letters.

Give me your word that you will never use a purchased, stolen cold base. =)

By the way, a few more words about the cold base must be said.

Cold base, or why is it inconvenient to work in the refrigerator?

A cold email database is like a cold call, only worse. A ton of effort and time is spent, and the effectiveness tends to zero. Even sometimes in the area with a minus sign. And if specifically, why is a cold base bad?

As a digression, I’ll say that most often they turn to us for writing newsletters with a cold database. They ask for a mailing list to talk about the company and sell. “But we haven't written to clients yet. And in general, these are not really our clients, we seem to have found their contacts on the Internet.” Yes, it's perfect real story and unfortunately not rare. But let's get back to the cold base and its disadvantages.

  1. A cold base requires "preparation" before making a purchase. And by the way, maybe the client will never prepare for this purchase, because he will never open your letters. What for? You are spam, which he did not subscribe to.
  2. Writing a letter to a cold database is much more difficult. Even if a person opens it, you must first tell who you are in general, and by this intrigue the reader so that he is imbued and looks through the letter at least diagonally. Now honestly answer yourself: do you read letters from familiar companies, but from unfamiliar ones?

    I will answer for you: of course not. Standard scheme: ran through the eyes, if something is interesting - read a little more carefully into a separate paragraph. Do you think your messages will be somehow different? Do not flatter yourself, people will not invent anything new specifically for reading your letter. And it's even more lucky if it opens at all! Especially when you didn't expect anything.

  3. The benefit from sending to a cold database is much lower. This is not about reading, but about money. In any case, you spend your time on the mailing list (suppose that you have a mailer for which you pay nothing, you yourself know how to typeset and you can also draw yourself, and you write texts on your own). But your time is also money!

I will give data on the general average indicators of mailings, and then draw your own conclusions.

So, a brief info according to the results of the research of the marketing agency HubSpot (active base 11K). For the B2C sector, with regular sending of letters (about 16-30 per month), the open rate was a maximum of about 35% (I note that the offers are personal and the base is segmented), and the CTR is at a maximum of 5.6%. It's not even about conversion at all. Just opened the emails and clicked on the links in them. And let me remind you once again that the base is warm, active, and people write regularly!

Now let's imagine if you have an active database of about 3,000 people, then about 900 people (30%) will open the letter according to the most ideal forecasts, 50 (5.6%) will click on the links in it. Well, let's take a fairly high conversion of the landing page - 5%, it turns out, 2 people out of 3000 will complete the target. What if it was an inactive base?

Our company does not have statistics on opening emails (open rate) and clicks on links (CTR) for a cold base, because we have never used such techniques.

But you can guess. I will show the results that are shared on forums about mailing from an inactive base. I saw, let's say, such messages.

Well, let's recalculate with a conversion rate of 0.03%? Like the result?

Hence the moral

Now I will try to say as softly as possible, but accessible. It is pointless to hope that having bought or an abscess it is not clear what kind of base, “like” from your target, and writing them one single letter (it’s hard to call it a mailing list) with an offer to get a 5% discount on the second order when buying from 15,000 rubles. .

Here at least +100500 times there will be a cool copywriter, you will want to cry from the result. And the copywriter will cry even during work, twisting his arms along with his brain, inventing how to make a bomb of content from this, let's face it, mediocre action, which will bring at least one order.

And yes: I just didn't say that such actions are not needed. It just all depends on various factors, for example, on the type of mailing and the period of your communication with the client. It's like going on a date with a guy. For example, you can have sex, but talking about a wedding and children is taboo. He will definitely agree to the first, and after the second he will run away.

But we will talk in detail about how to work with the subscription base in other articles from the “About mailing list” series, but now I want to talk about such an important point as the types of letters.

2. Types of letters to send

All letters can be conditionally divided into several types. This division is based on the goals that you pursue in the letter, and the results that you want to get at the end.

It is clear that in the end, everyone wants to sell from the mailing list, receive orders and increase profits, but this is a kind of common goal, like any business - because it commercial activity, there can be nothing else. But there are also smaller, specific goals that stand before each type of letter.

Now I will give a small classification by goals, then we will talk in more detail.

It cannot be said that informational letters are a must-have, and promotional ones are fu-fu-fu. There is no such division, of course. The choice of letter depends on the stage of your relationship with the client. In other words, there should be several types of letters in your mailing list strategic plan. For every relationship.

What else is important to know about the types of letters?

    According to the frequency of sending letters, they can be divided into regular and one-time.

    a. Regular emails are sent constantly with a certain frequency, for example, once a week, month, quarter, etc. Such letters include, for example, informational and promotional letters.

    b. One-time letters are written for a specific event and are sent only once. For example, announcement letters.

  1. By automation, mailing letters can be divided into those sent according to a template or universal (trigger, welcome letters) and individual, which are written specifically for an informational occasion (promotional mailings).

As already written above, strategic plan each company should include several types of letters, for every occasion.

    welcome letters- a kind of trigger letter. This is the first message a new company subscriber should receive. It is not necessary for each new person in the subscription base to reinvent the wheel with an individual letter of gratitude for the left postal address. Such a letter may well be template. His task is to thank the person for joining the ranks of the company's subscribers and give useful information, or whatever you promised to send him in exchange for mail, tell about further cooperation.

    A welcome letter can be made in the form of a series of letters (while the person is still warm, remembers your company and is ready to open your messages). The bottom line is that in the first letter you talk about who you are and what you do. How would you introduce a person to the company, tell something useful and smoothly lead to the completion of the target action. Indeed, at the very beginning, especially after receiving nice bonus, a person is loyal to the company and the mailing list, opens letters and follows the links in them. Statistics show (according to Experian Information Solutions Inc.) that the open rate of welcome emails is 5 times higher than regular ones from the mailing list, and the click-through rate on links is 4 times higher.

  1. promotional letters- letters with buns from your company. Their task is to sell a lot and quickly. Such letters cannot be made templates. Even if you have the same stock, which is unlikely. For each occasion, you will have to write something special and unique. In promotional letters, we advise you to make as little text as possible, but to cover all the main points. Brief introduction, description of conditions and call to action.
  2. Information letters- letters that tell something about your company, give useful information to customers, increase their level of trust in you. They also cannot be made template, you will have to write each letter on occasion. Our newsletters are presented in the form of a content mailing, which we send on Wednesdays, an information mailing (we send it every two weeks on Mondays), as well as a mailing list with the announcement of training events (webinars, courses, trainings, etc., sent out 1-3 times a month on Fridays).
  3. trigger emails- these are messages that a person receives in response to any actions or inactions on the site. For example, if you add a product to the cart and do not pay for it, after 1-7 days you can be reminded of the "abandoned cart".

Reactivation letters can also be included in this section, when you need to remind a person about yourself. As a rule, such letters are shocking. And in ordinary life, they would never be sent to a client, but here the task is to pull a person out of his usual environment, to force him to open a letter.

By the way, when I first came to the internship at 1PS, the first letter that was shown to me as an example was precisely reactivation. The theme sounded something like this: “I don’t understand, are you dead?”. To say I was shocked is an understatement. I thought I would never write something like this to clients. This is horror! But after about 1.5 years, our company sent a letter to what we thought was a “dead” database with a similar title and content. I will tell you more about him and about the 1,500,000 rubles that we had to donate in the end in the following articles, when we analyze specific examples, and now I will note a few points about the reactivation letter:

  • Such a letter must be really shocking.
  • The letter can only be sent to those subscribers that you consider "dead" (there is no activity from them for a long time).
  • In the letter, so that they want to return to you, there must be cool buns. By the way, a 5% discount is not cool at all. And 10% too. On this occasion, you don’t need to disturb the client’s nerves at all with a shocking reactivation letter.

So, we sort of figured out the views. We can say that this is the minimum that is suitable for drawing up a mailing strategy for any company. It will look something like this: first send a welcome letter, then connect regular information and promotional mailings, send trigger messages, depending on the actions of the client. If there is no response to messages for six months or a year or more, you launch a reactivation letter, after which you either delete the client from the database (if everything is stable deaf), or continue to send him informational and promotional mailings after the resumption of relations with a reactivation letter.

A few more important things!

Little things seem to solve nothing, but little things can form a general negative impression of the company. So there are some things that need to be controlled. Well, as a seed for the following articles. =)

  1. General style. All company letters should be in the same style as the business. It is strange if your corporate color is blue in the brand book, and you send mailing lists in pink with green polka dots.
  2. Signature. Letters, of course, must be signed, they should not be written today from Masha, tomorrow from Petya, and on Thursday from Semyon Petrovich. Take the name of a real employee (who writes most of the newsletters) or come up with an author to subscribe to. Remember that it is more pleasant and easier to communicate with a person, even if he is fictional, than with a faceless company Romashka LLC.
  3. Appeal. On you or on you to clients - it's up to you, only in all letters it should be the same!
  4. Keep Deadlines. If you decide that the mailing is regular, this means that it is sent not just often, but with a certain frequency. For example, once a week on Wednesdays or on the 20th of each month. Like magazines, they come out at the same time. Customers will get used to and will wait for your messages. As the Fox wisely said in The Little Prince, addressing the prince: “It’s better to always come at the same hour ...”. This is how you send your letters to clients.
  5. Efficiency. Evaluate the results of your letters. This is necessary in order to understand how profitable the message worked out, as well as to adjust your strategy in the most profitable direction of work.

For an introductory word, I think, enough. Moreover, about everything important points we talked today. In the next article, you will learn about the structure of letters, what elements should be, how to implement them, etc. And also, with great pleasure I will show examples from our life and talk about their effectiveness.
