  • purchase, storage, issuance of various items and valuables necessary for the work of all employees of the company;
  • repair of premises, damage to property;
  • compliance with the norms and rules of fire safety, control over the implementation of all recommendations;
  • financial responsibility for the values ​​of the company;
  • search for companies providing all utilities;
  • conclusion of contracts for the provision of wired telephone communications, cellular communications, the Internet, and utilities;
  • providing employees of the company with all the necessary values ​​for effective work;
  • control over the condition of the premises, elimination of all problems - timely repairs, technical work, cleaning of offices;
  • organization of comfortable conditions for the rest of employees, provided for by the legislation of the Russian Federation;

General provisions

Any enterprise has regulations on the administrative department. In part, it may vary slightly depending on the type of activity of the company, size. But many provisions are the standard norm, the same in all companies. Here are some of them.

  • team management rules, labor organization;
  • the boss must have at least minimal knowledge of economics, management, and material reporting;
  • know the procedure, terms for reporting and maintaining time records;
  • operation and maintenance of organizational and computer equipment;
  • business communication skills, drafting contract documentation;
  • the order of purchases, the place and quantity of the purchased inventory and equipment for the company;
  • have knowledge of the organization's history and development prospects.

The head of the AHO himself has the right to determine the penalties for his employees, distribute vacations, give permission to leave the workplace in case of unforeseen circumstances. He also fully controls the execution of all assigned tasks, attracts contractors, controls the purchase of inventory, develops repair plans and much more.

Job Responsibilities of the Head of AHO:

  1. Monitors the work of employees, distributes duties between them, monitors the execution of all job descriptions.
  2. Conducts recruitment for the administrative and economic division.
  3. Controls the operation of technical equipment - elevators, ventilation systems, lighting devices.
  4. Organizes plans and works for the repair of internal premises, the entire building. Supervises landscaping activities. This applies to both the constant care of the yard, corridors, and decoration during the holidays, important events.

Specialist - engineer / administrator / manager have the right to:

  • request information from other departments regarding issues of an administrative and economic nature;
  • punish employees for violations, report this to higher management;
  • take the initiative in improving the work of the organization in the field of technical and administrative services;
  • to comply with all rules and regulations, require management to provide the necessary conditions;
  • assess the quality of work of their subordinates.

AXO provides activity of all other departments. Every company has its own characteristics. But the functions of the specialists of the administrative and economic department are practically the same everywhere. Namely:

  • ensuring large purchases of any equipment;
  • purchase, distribution of stationery;
  • supply of all employees with office equipment, household items, furniture;
  • operational actions to repair equipment, prevention from breakdowns;
  • document management, databases, technical files;
  • cleaning, repair, decoration of premises;
  • improvement of the street territory;
  • catering company;
  • organization of timely transport movement;
  • organization of recreation areas, places for a smoke break, corporate parties;

In many organizations, it is customary to planning meetings. They can be daily, weekly or monthly. On them, the boss conveys new information to his employees, distributes instructions, sets tasks. The latter can be both global and small, arising spontaneously.

All employees, and first of all the head of the AHO, have series of obligations:

  • fulfill the goals and objectives set by the senior management;
  • maintain all necessary documentation, fill out time sheets, forms, estimates, calculations;
  • be ready to promptly resolve any situations;
  • use material goods, human resources for their intended purpose and rationally;
  • comply with all job duties, sanitary and fire safety rules of the entire organization;
  • timely provide reports, statistical information to the authorities;
  • perform their work efficiently, efficiently, on time.

AHO has the right at any time to request background information from any of the departments, offer ideas for improving work, participate in meetings and planning meetings on all administrative and economic issues.

Cooperation with other departments

High-quality performance of all tasks and functions is impossible without interaction with all departments and divisions of the organization. Each employee of the AHO is obliged to build working relationships with colleagues.

  5. Planning and economic- distributes wages, accrues bonuses, vacation pay. The head of the AHO, together with them, regulates the salary of his subordinates, depending on the work performed, the degree of workload.
  6. Human Resources Department- sets the staffing table, notifies about business trips.

AHO is responsible for the provision, delivery, safety of material assets necessary for work. In addition, the department controls the order, repair of the premises of the building and the courtyard, creates comfortable conditions for each employee of the organization.

The implementation of hundreds of tasks and functions assigned to the economic unit is impossible without coherence not only within the unit itself, but also without a close relationship between all the company's structures.

Employees who are not involved in maintaining personnel records are unlikely to think that the designated instruction must meet certain requirements.

Nevertheless, it is so. Without fail, the document must contain an indication of the qualifications of the head of the department and the requirements for work experience. As a rule, specialists with higher education (in our case, education can be technical or economic), work experience (at least three years as a specialist, 1-2 years as a manager) are accepted for the position of manager.

Separately, it should be said about the duties of such employees as a janitor, a cleaner who are engaged in bringing the territory and premises into proper condition. Their work is not particularly difficult, but also involves a certain degree of responsibility.
